Because many companies have seen the benefits of Business Process Outsourcing, the market for BPOs has considerably grown larger and has now included more and more players. Each of these players try to get everyone, from small businesses to major corporations, to sign up and outsource some of their tasks to them.

Of course, when the market expands and more and more Business Process Outsourcing companies come into the field, you can also expect that there are those who are not really able to provide good services but would rather just rip off your company’s money.

As such, it would be quite important to do some checks with a potential BPO partner before you start trusting them with the tasks that you would like to outsource.

Here are some checks that you could do to ensure that you are not getting lemons as your BPO partner:

Ask for references from previous clients:

You may want to ask the BPO company to provide you with a reference from the previous clients that they have worked with. This would enable you to check if they are actually in good standing with their previous clients or if there are complaints that are levied against them.

By asking for references, you would also be able to know if they still have some work that they are not able to complete, so that you would be able to gauge just how worthy the BPO company actually is.

Ask for demonstrations of their services:

You should also request for a demonstration of the services that they would provide you before you sign the contract. This is because there may be some companies who can talk about what they can do, but do not actually have the necessary infrastructure, equipment, or know how to pull it off.

Of course, you should not rely on just demonstrations. It would be best if you could negotiate a trial period to really check the efficiency of the service that they try to sell to you.

When people talk about Business Process outsourcing, they would commonly think of call center services. After all this is one of the most often outsourced services that companies or business would utilize to augment their staff. However, what many may not be aware of is that BPOs can actually provide you with much more services that you could use to

Aside from the common telephony services that everyone seems to be familiar with about BPOs, you should know that they also offer the following types of services to their clients:

Computerization of documents:

One thing that is slowly getting wind throughout plenty of companies would be computerization of documents. For companies that had previously worked using a paper filled office, computerization can be quite tedious. The usual recourse would be to scan the document into various images.

The problem with this is that while you may be able to scan the documents into very images, it could be quite difficult for programs to process images and would not be able to read the text that was entered in it. This is where a BPO providing a computerization of documents service would come in.

They would be able to have people read the content of the images and then transcribe them to more computer friendly documents.

Research:

Another new type of business process outsource service would be second hand research. This means that a company would be able to find the data that you need for your reports, presentations, and other similar documents.

You would just have to provide them with the topic that you need some data on, and they would handle the research that you need. They would then send the data to you in various formats that you could easily use for your reports.

Aside from those mentioned above, there are still plenty of new services that BPOs can offer to your company. If you see something that you think your company would need, then maybe it would be high time to explore your Business Process outsourcing options. Who know? It may be the boost that your business would need in order to expand and grow.

One of the more recent developments in the country was the recession. Many companies were forced to downsize or even completely shutter their operations because they are having some difficulty in being able to function with the down economy.

The recession though, has brought out an increased role for Business process outsourcing. It seems that more and more companies are viewing BPOs as saviors for their business. They are able to get things done at a fraction of the cost.

Of course, things are not as simple as that, it would be very important to view Business Process outsourcing and a recession in the context of each other. By doing so, you would be able to guage just how much they really your company’s operations.

Cheaper Alternative:

It really can’t be denied that one of the biggest advantages of being able to get your services from outsourcing providers is the cost. It is truly much cheaper to pay for the outsourced service instead of building your own infrastructure and hiring your own people to do them for you.

Thus, this makes business process outsourcing a very enticing option for companies who are looking to cut their operating costs. They can trim down some of their staff or move them to newer projects that could bring more revenue that would offset their expenses.

Personnel Unrest:

The problem with outsourcing during the context of a recession though is that it could cause plenty of unrest for your current staff. They may feel threatened by the outside sources who may want to come in and take their jobs from them.

As such, it would be very important to you to maintain that balance and harmony between your outsourcing partner and your current staff. Yes, it would be cost efficient to outsource tasks, but you may be doing so at the risk of alienating your existing personnel.

It can’t be denied that social networks such as Facebook ad twitter have really cast a big shadow when it comes to online marketing. Nowadays, it would be quite rare for a company to not have a presence in these social networking sites. As such, plenty of small businesses are trying their hands on it, in the hopes of achieving promotion for their brand.

The problem with this is that if done incorrectly, using social network for brand promotion can actually backfire and do more harm to your brand. That is why it would really be important that you know what you are doing so that you would not be on the wrong end of your social network promotion.

Here are a couple of examples of situations wherein utilizing Social Networks may backfire:

Easy way to place criticisms

One of the problems that can arise if you would put up your business’ social networking page would be that it could become a hub for all the negative criticisms that people would have about your business. People can easily make their complaints public which could easily turn off the people who are just new to your product and may have had some interest about it.

Thus, it would be important to be able to moderate the comments, and to check which of these criticisms are valid, and which were just made to detract from your business.

Maintenance issues:

You should understand that social networks would need constant maintenance in order to be effective. If you forget or become delinquent with your updates then people may think that your company is not doing well or is not capable of doing the business even if it is actually performing well.

As such, you should be quite vigilant when it comes to your updates, and be responsible enough to maintain your social networking page.

As of now, everyone, from small business to large corporations are already putting up pages in social media networks, to be able to use them as platforms for reaching a wide consumer base. They are using various methods in order to use these types of sites to launch their promotions and increase brand awareness. As such, companies that do not have any presence in these types of sites would definitely be at a disadvantage.

Of course, there are companies who may want to join in on the fun of social media marketing but are not aware as to how to develop a social media marketing plan. They are scared that they would make some irreparable mistakes and would just avoid this strategy altogether.

For these types of companies, here are some tips for developing a social media marketing plan:

Listen to your target clients or consumer base:

Your first step to developing a social media marketing plan would be to listen to your target clients or consumer base. By listening to their wants and needs, you would be able determine what type of social media marketing sites they use and start to build from there.

By taking into account what they want and where they go to, you would be able to cater the content of your social media marketing plan to suit what they want. This would make you have a better grasp of the direction that you would want your strategy to take.

Hire the Right People:

One of the more common mistakes that the companies make when developing their own social media marketing plans is that the people that they hire are not adept at the task. They may choose to hire people with a traditional marketing background, who may not be quite open to the use of social media marketing.

When you go into a Business process outsourcing relationship with another company, one of the things that would initially bind you would be the contract. The contract would outline the terms that both parties would have to agree with and use while they go about their partnership. As such, it would be important to detail everything well in it, so that you would not have any troubles down the line.

If you are new to the Business Process outsourcing industry, then you may be unaware of the things that you would really have to keep an eye on when it comes to the contracts for your business process outsourcing. You may find yourself just agreeing to whatever terms the other party has set.

To be able to get a good deal for your business process outsourcing needs, you should be proactive in setting up the contract. To do this, here are some considerations for BPO contracts that you would have to think about:

Change in Services:

You should understand that businesses are constantly changing. You may suddenly find that your agreement with your BPO partner is no longer viable or have no clients that would utilize such a service. As such, you may want to include provisions in the contract that would allow you to shift the types of services that they provide.

For example, you may want to initially enter an agreement wherein your BPO partner would provide you with call center services. However, there may come a time when you would not need it, as such you may want to ask if they would be able to offer a way for you to shift tasks.

Exchange Rate:

If you are outsourcing to another country (Offshoring) then you should probably take into consideration the value of your currency. The fluctuations of the economy may affect your agreement and you may end up losing money instead of being able to save it.

That is why you would have to build in some stipulations concerning this possible situation.

When companies make the shift to social media marketing as their primary source of promotions, you would often find them neglecting the offline marketing side. This is actually quite problematic as there are some things that offline marketing would be able to afford you that you would not be able to get when promoting through social media.

Actually, the best way to go about it would be to combine the two marketing styles so that you would be able to come up with a presence both offline and online. However, not many businesses would know how to go about this, which could lead to some failed marketing strategies.

Here are some strategies for marrying offline and social media marketing:

Use one to promote the other:

The best way to go about combining both online and offline marketing would be to use one to promote the other.

For promoting your online presence through offline means, you could simply put the URL of your website, or your facebook page (or other social media network) on flyers, posters and other tri media advertisements that you may opt to use. On the other side, you could then promote live events such as trade fairs, shows, or sales, through the events section of your social media networking website.

By doing this, you would be maximizing your advertising from both streams.

Ensure unity between both materials:

You should also show that both of your offline and social media marketing strategies show unified ideas. Do not make it so that one aspect seems more advanced or different than the other. This concept should manifest itself on design (design them similarly), concept (do not state contradictory items), and delivery (provide the same message).

By doing this, you would realize that these two aspects of promotion go hand in hand and are not counter to each other.

One of the main reasons for getting a business process outsourcing partner would be the cost savings. Many companies believe that they would definitely be able to streamline their expenses as well as operate more efficiently with the help of business process outsourcing.

While this is true, the savings would not come automatically. You would definitely have to manage your funds in order for this to come true.

Since managing funds is not the strong suit of many of companies, many are in the dark when it comes to it. To help them, here are some factors that they should keep an eye on.

Keep track of the exchange rate:

When you are engaged in Business process off-shoring to other countries, you would usually deal with the currency of another country. As such, you would need to keep track of the exchange rate to see if you are actually able to save some money by outsourcing or if you are already losing out because of the economy.

You would need to monitor the current financial situation and check if it is still feasible to maintain your Business Process outsourcing partnership. This is especially true if you are negotiating and extension of your contract.

Check for redundancies:

When you are outsourcing, there may be some tasks that you are currently doing that are already quite redundant. This would be true especially for some of the clerical tasks that your company used to do in house.

You may want to check for these redundancies and eliminate them by either letting go of some employees or reassigning them to be able to maximize the salary that you are giving to them. Of course, you should understand that it is not a simple price comparison between cheaper salaries. There may be some advantages to keeping some of your older staff so you should think about your employee movements before pulling the trigger.

Dealing with Business process outsourcing partners can be quite tedious and frustrating for many companies. This is especially true for those who have very little experience in doing outside negotiations with other companies.

To help these companies, here are some reminders when dealing with Business outsourcing partners.

Always remember cultural differences:

One of the things that you should remember when dealing with Business Outsourcing partners is that there are always cultural differences between your company and theirs. It does not even have to be off shoring or dealing with foreigners as even practices and workplace norms would often differ from one company to the next.

It would be important to remember this so that you would be more understanding when it comes to some variances with the way that you go about the tasks. As such, you should explicitly highlight how you would want things to be done during your negotiations so that you would be able to avoid misunderstandings and miscommunication between the two companies.

Money is not everything:

Another reminder when dealing with business process outsourcing partners would be that Money is not everything. Too often, many companies would become stuck with the idea that the cheaper the better. However, this should not be the case when it comes to outsourcing.

You should try to consider the various additional benefits that a partner may be able to provide you (quality of service, faster delivery times, better features, highly skilled workers etc.) instead of just thinking about the cost savings.

This is because the cheapest option may not be able to provide you with excellent services hence the less expensive cost. Of course, you should not take this to mean that inexpensive partners are substandard ones.

Hopefully these tips would help you deal with your Business process outsourcing partners better.
